1. What Is a QR Event Ticket?
A QR event ticket is a digital admission pass that uses a QR code — a square barcode — to verify entry at an event. Instead of a printed paper ticket, the attendee shows a QR code on their phone screen. Event staff scan it with a phone camera, and the system confirms whether the ticket is valid.
QR tickets have largely replaced paper tickets for modern events because they are:
- Delivered instantly — no printing or shipping
- Harder to forge — each QR contains a unique credential
- Verifiable in real time — the scanner checks the ticket against the server
- Single-use — once scanned, the same QR can't be used again
- Convenient — attendees always have their phone

2. What's Actually in the QR Code?
This is one of the most common questions — and the answer is simpler than most people expect.
A Side Quest QR ticket contains a single unique credential — a randomly generated code that identifies that specific ticket. That's it. The QR code does not contain:
- The attendee's name or email
- Their payment or credit card information
- The ticket price or order total
- The event name or venue address
- A URL or web link
When staff scan the QR code, the credential is sent to the server, which looks up the matching ticket and checks whether it's valid for that event. The server — not the QR code itself — holds all the ticket details.
Why this matters: Because the QR contains only a random credential — not your personal or payment data — there's nothing sensitive to steal if someone photographs your screen. And because the credential is checked against the server, a copied QR alone doesn't guarantee entry.
3. What Happens After Someone Buys a Ticket?
The journey from purchase to check-in happens in a few automatic steps:
- Purchase or registration — The attendee buys a ticket or registers for a free event. Payment is processed securely.
- Ticket creation — The system creates individual ticket records, each with its own unique QR credential.
- Confirmation email — The buyer receives an email confirmation with a link to access their tickets.
- Ticket delivery — The attendee opens their ticket page and sees their QR code, ready to present at the event.
This all happens within seconds of purchase. There's no delay between paying and receiving the ticket — the QR is generated and available immediately.
4. How Guests Receive and Access Their Tickets
After purchasing, attendees access their QR tickets through a simple web link — no app download required.
For logged-in users:
- Tickets appear in the "My Tickets" wallet inside their Side Quest account
- Each ticket shows the event details and a scannable QR code
- Tickets can be accessed anytime by logging in
For guest checkout (no account):
- The confirmation email contains a link to access tickets
- The ticket page shows the QR code without requiring login
- Attendees can also use the "Find My Tickets" page with the email they used to purchase
5. What Happens When Staff Scan the QR Code?
When a staff member scans an attendee's QR code, here's what happens behind the scenes:
- Camera reads the QR — The scanning tool captures the QR code using the phone's camera.
- Credential sent to server — The unique credential from the QR is sent to the Side Quest server.
- Server looks up the ticket — The server finds the matching ticket and checks its status.
- Validation checks — The server confirms the ticket belongs to this event, the order was paid, and the ticket hasn't already been used.
- Check-in recorded — If everything checks out, the ticket is marked as "used" and the staff member sees a success confirmation.
- Attendee admitted — The guest enters the event.
This entire process takes a fraction of a second. The staff member sees a clear result on their screen: a green success message, or a warning if the ticket is invalid, already used, or not eligible.
The server also records who checked the person in,when, and how (QR scan or manual lookup) — creating a full audit trail for the organizer.
6. How Duplicate Ticket Scans Are Prevented
Duplicate prevention is the core security feature of QR ticketing. Here's how it works:
Each ticket has a status. Before check-in, the status is "valid." When a staff member scans the QR code, the server attempts to change the status from "valid" to "used." This status change is atomic — it either succeeds completely or fails completely. There is no in-between state.
If two people try to scan the same QR code at the same moment (for example, at two different entrances), only one scan succeeds. The first scan changes the status to "used," and the second scan finds the ticket is no longer "valid" — so it's rejected as "already checked in."
Key point: The duplicate protection happens on the server, not on the QR code itself. The QR code doesn't "self-destruct" after scanning — instead, the server records that the ticket has been used and rejects any future scan of the same credential.
When a duplicate scan occurs, the staff member sees who checked the person in and when — so they can handle the situation appropriately (the guest may have a different valid ticket, or someone may be trying to use a copy).
7. Can Someone Screenshot or Copy a QR Ticket?
Yes — and this is important to understand. A QR code is just an image displayed on a screen. Anyone can take a screenshot of their QR code, photograph it, or print it. The QR code itself is not encrypted or copy-protected.
But here's why that doesn't break the system:
- The QR is a credential, not a pass. Having the QR image doesn't guarantee entry — the server still has to validate it.
- First scan wins. When the ticket is checked in, its status changes to "used." Any future scan — from a screenshot, a photo, or the original phone — is rejected.
- Two people can't both get in. If someone sends a screenshot to a friend, only the first person to get scanned gets in. The second person's scan shows "already checked in."
This is why server-side validation is the real security mechanism — not the QR code itself. The QR is just a way to transmit the credential to the scanner. The security comes from the server tracking which tickets have been used.
8. What Happens if a Ticket Is Transferred?
Side Quest Utah supports person-to-person ticket transfers. When a ticket is transferred and the recipient accepts:
- The old QR code becomes permanently invalid. The sender's original QR will no longer scan successfully.
- A new QR code is generated for the recipient. Only the recipient's new QR can be used for entry.
- The original purchaser keeps refund authority. Transferring a ticket moves admission rights, not financial ownership.
This rotation prevents a common fraud scenario: someone transfers a ticket to a friend, then tries to also use the original QR code themselves. Because the old QR is invalidated and a new one is issued, only the recipient can get in.
Transfers can be declined or cancelled before acceptance, in which case the original QR remains valid for the sender.
9. What Happens if a Ticket Is Refunded or Cancelled?
If a ticket is refunded, cancelled, or voided, its QR code is no longer valid for entry. When staff scan a refunded ticket, the system shows a clear message: "Ticket has been refunded" (or cancelled, or voided).
The same applies if the entire event is cancelled — all tickets for that event show "event cancelled" and cannot be checked in.
This happens automatically. The organizer doesn't need to individually invalidate QR codes — when a refund is processed, the ticket's status changes on the server, and any future scan of that QR reflects the new status.
10. What if Someone Loses Their Ticket or Phone?
Losing a phone or ticket email doesn't mean losing entry. Here's what attendees can do:
- Use "Find My Tickets" — Enter the email used to purchase, and the system sends a link to access the tickets.
- Check the confirmation email — The original purchase email contains a link to the ticket page.
- Ask staff for manual lookup — At the event, staff can search by name or email and check the person in without their QR code.
The QR code is just one way to verify a ticket. The underlying ticket record exists on the server regardless of whether the attendee has their phone. As long as they're on the attendee list, they can get in.
11. Manual Check-In When QR Scanning Isn't Practical
Not every guest will have a working QR code. Screens crack, batteries die, emails get lost, and sometimes the QR just won't scan. That's why every Side Quest event includes manual attendee lookup as a built-in fallback.
Staff can open the manual search tool and search by:
- Attendee name
- Email address
- Ticket number
When the right attendee is found, the staff member confirms their identity and checks them in manually. The system requires a confirmation step to prevent accidentally admitting the wrong person.
Manual check-in works the same way as QR check-in — it changes the ticket status to "used" and prevents duplicate entry. The only difference is the lookup method.
Tip: Train at least one staff member on manual lookup before the event. It's the most reliable fallback when anything goes wrong with QR scanning.
12. Using Multiple Staff Members at Check-In
For events with multiple entrances or large crowds, multiple staff members can scan tickets simultaneously. Each person opens the check-in tool on their own phone and scans independently.
All check-ins sync through the server in real time. This means:
- No duplicate admissions — Even if two staff members scan the same QR at the same moment, only one succeeds.
- Real-time count — The organizer can see the total check-in count update live across all entrances.
- No coordination needed — Staff don't need to communicate about who they've scanned; the server handles it.
To set this up, the organizer invites team members as Check-In Staff. Each person receives access and can open the scanning tool on their own device.
Multiple scanners are especially valuable at larger events where a single entrance would create a bottleneck. The more entrances, the more important the server-side duplicate protection becomes.
13. Does QR Check-In Work Without Internet?
Side Quest check-in currently requires an internet connection. Because ticket validation happens on the server — not on the scanning device — the phone needs to be online to verify each ticket.
This is a trade-off. Server-side validation is what makes duplicate protection reliable across multiple devices and entrances. But it means you need connectivity at the venue.
Practical advice for organizers:
- Test venue connectivity before the event. Check both Wi-Fi and cellular signal at the entrance.
- Identify where cellular signal is strongest. If the entrance has poor signal, consider moving the check-in table.
- Keep a portable hotspot charged and ready. A dedicated hotspot can serve as a backup if venue Wi-Fi is unreliable.
- Have manual lookup ready. If internet drops temporarily, staff can pause scanning and use manual lookup once connectivity returns.
- Brief staff on what to do if scanning fails. Don't let a connectivity issue turn into a line at the door.
Important: Do not assume offline scanning is available. Plan for connectivity as a requirement, and have a manual fallback ready.
14. QR Tickets vs Paper Tickets
Here's how digital QR tickets compare to traditional paper tickets:

Yes. A QR ticket is displayed as an image on your phone, so you can take a screenshot. The screenshot will scan at the door. However, once the ticket is checked in, any future scan of that same QR code — including from a screenshot — will be flagged as already used. Two people cannot both get in with the same QR code.
Can I print my QR ticket?
Yes. A printed copy of your QR code will scan the same way a phone screen does. The QR code is just a pattern — it doesn't matter whether it's on a screen or paper. Once the ticket is checked in, any duplicate scan is flagged.
What if my phone dies at the event?
If your phone battery dies, event staff can look you up by name or email in their check-in tool and check you in manually. You don't need your phone to get in — you just need to be on the attendee list.
Can I send my ticket to someone else?
Yes. If your event supports ticket transfers, you can send your ticket to another person. When they accept the transfer, your old QR code stops working and they receive a new, valid QR code. This prevents you from transferring a ticket and then also trying to use it yourself.
What if I lose the ticket email?
You can access your tickets through the ticket lookup page using the email you used to purchase. Event staff can also find you by name or email at the door using their manual lookup tool.
Can two people use the same QR ticket?
No. Each QR ticket can only be checked in once. The first valid scan marks the ticket as used, and any subsequent scan of the same QR code is flagged as already checked in. This is enforced by the server, not the QR code itself.
What happens if I accidentally scan my ticket before the event?
Scanning a ticket requires event staff with authorized access to the check-in tool. As an attendee, you cannot check yourself in by scanning your own QR code. Your ticket remains valid until an authorized staff member scans it at the event.
Do I need special scanning hardware?

Can I scan tickets with my phone?
